Introduction of Business Communication and the Importance of Business Communication


Communication is about passing messages between people and organizations. Messages between a sender and a receiver take place using a medium such as phone and email. Communication is extremely important in the business world. People needs to communication with each other to discuss or understand anything that is related to their business. There are different types of communication in the business world, verbal communication used to talk and non-verbal communication is using some tools or devices to communicate, such as report, company memo, action and fax. Ineffective communication is a big obstacle in the business productivity. 
 International Companies will always go around the world make contract with other companies. 
 People get confused when too many people talks at the same time. 

 Listen and speak is the most important rule in business world. 


 The most common communication tools we use in our society. 
 To become successful, good communication is very important. 


With sufficient effort, ineffective communication can be turned into another way. The company should formulate a new strategy to encourage people in order to communicate effectively. When a company is dealing businesses with another company, they should have speak the same language, the contracts are understandable for both sides, it is to prevent misunderstandings between them. Business communication encompasses not only communicating with external contacts but also with employees within the organization. This will aid the business in being well-organized and every matter whether it is a problem, an inquiry or a sales letter will be attended to properly and promptly. It does not mean that only a client’s inquiry should be responded promptly but also feedbacks or problems arising inside and outside the business as well. This is done to have a balance within the internal and external factors, especially in relation to dealing with people, whether they are employees or other external contacts. In most organizations, effective communication offers the best opportunity to make an outstanding first impression. Using powerful words, images and messages gives people or the seniors a mature impression.

Steps to Effective Communication

 Communication can be made through phone calls. 
 People talks you listen, this makes the conversation easier and it prevents misunderstandings. 

Attraction – Winning the attention of the person that you want to talk to is the first step and it is extremely important. You should consider something distracts him/her that makes them not to communicate with you; this includes personal issues, emotional discomfort and negative attitudes. In order to achieve your goal, you should to more research on the person’s background and other issues if you are dealing a very big contract with him/her. Respect and polite greeting will gain the person’s heart as well.


Understanding – Manager sometimes defends their inability to communicate by asking, “Do you understand?” This is an unfair question to the workers because this might hurt them and they will be thinking it’s not their fault, it’s your fault. This makes the workers dislike their managers, they may wanted to resign or any other serious consequence. Boss should always be polite and respectful to their workers so that their workers will be satisfied and work for him/her for a longer time. If the transmitter and the receiver both get different meanings, misunderstanding will happen and it might cause a fight between them. Effective communication needs patient, clear and polite speech.


Action – Often a good idea will always meets the acceptance or agreement, but the action process should be clear, acceptable and it is well fitted into the world of reality. But the idea may not be transmitted into action due to the obstacles faced by the people; such as disagreements between workers, managers and boss, cannot apply to the real world is the part of these reasons too.

Malaysian Communication Styles






Malaysian communication styles are characterized by extreme forms of politeness and diplomacy. Malaysian communication styles mostly focus on the existing harmony within the group members and the clients in order to develop a sense of harmony and a good relationship between new contracts. They often spend a few hours to go through the social pleasantries before discussing any actual business issues, this is a relation-building process before proceed. Most Malaysians can speak more than one language, such as Mandarin, Malay and English. These are the big advantages for them to communicate with foreigners.

Chinese Communication Styles


GuangZhou is one of the main cities that organize trading in China. In every state of Guangzhou, it will have different trading markets selling different accessories. But the way the Chinese communicate is really different from the Western countries. Speak fluent mandarin is the most important thing if businessman and women wants to do business in China. Mandarin is being the most common as well as the official dialect; it can be difficult to do business in many parts of China without the aid of a translator. Although there are fluent English speakers exist in china but the level falls away very quickly.

Many people would like to do business in china because the business market and the population is so big, things that nobody would by at some countries but many people would buy it in china. Misunderstandings will always happen in the Chinese market, people will think that you are cheating him and they will start a fight or argument with them. This is big disadvantages for you because you are a foreigner, you don’t know the rules of the business market in china, you might be cheated by them in the mode that you didn’t even know what had happened.
Chinese find saying “no” is extremely difficult for them to tell their customers because they didn’t want to chase them away so they will reject them in a more polite way such as “yes, but it’s quite difficult”. But not every trader in China are like that, some people came from small villages they don’t know the basic etiquette that they are suppose to show in front of their customers. Some traders’ attitude is like if you don’t to buy, if you these are too expensive, put my things down and leave. This is how they behave, that’s why some customers cannot stand them and got into a fight with them.

Apple is considered as one of the most successful companies in the world. Whenever a product is being produced, it will be a big year for Apple Company; fans of Apple will wait at the front door of the selling point for 2-3 days just to buy a phone and to be the first one who uses the newest product of Apple. Although Apple did not produce a new product each year like Samsung but the company gains a lot from their App Store. A large amount of people from all over the world buying apps from the store everyday, the profit is definitely increasing for every year. Apple used another way to communicate with people, they use their products to show how good they are, and Steve Jobs will always listen to their customers’ comments and try to fulfill the customers’ needs. Although Steve Jobs passed away but the profits that the company gained is still not decreasing.



Amazon is also considered as one of the most successful companies, this online shopping company (e-commerce) takes over the world. In the ~15 years since it sold its first book, Amazon has become a global ecommerce colossus, with more than $50 billion in revenue. There are a lot of reasons why Amazon got so successful but other companies are not, because they are communicating with their customers and try their best to make their customers happy and satisfied. Amazon shows how powerful communication is and what kind of profits communication will bring you.
